ALUMNI SUMMER SEMINAR HELSINKI 2007 // Case Study results x Context : From the 15th till the 22nd of July 2007, 17 ex-participants of EDERED Encounters from thirteen different countries, aged between 20 and 30, met in Helsinki for the 1st EDERED Alumni seminar. This meeting followed three goals: •

Reflecting about former EDERED encounters to use those feedbacks for the benefit of making future encounters better and more successful (Result: publication of a White Book).



Getting training on how to organize an encounter (day to day organization, project management, sponsorship & fundraising, etc…).



Building a network of international young students, sharing knowledge and ideas and creating forthcoming multicultural drama projects. Participants mostly worked together in groups of 4 to 5 people - gathered in one of the beautiful spots of the house and surroundings in Meriharju house in the outskirts of Helsinki - and brainstormed, discussed and wrote down ideas and plans to the according topic. At the end of each session, the result of each working group was presented in front of the others. The complete results of the sessions were then finally presented to the General Assembly of EDERED.

x The CaseStudy session: Led by experienced EDERED-Veterans (Marianna Brazda – HU, Jacques Lemaire - FR, Jacqueline Sottiaux – BE), this session consisted of planning an imaginary drama encounter in the future. The work was focused on points such as artistic coordination, general organisation and fundraising. At the end of each session each group presented its results which were then discussed by the whole group.

A final one-page file of each of the four groups was then created, considering all discussed points and presenting a realistic concept of a possible encounter. This document gathered those deliverables.

GROUP 1 (1/1) Year of Encounter: 2011 Theme: The Loudest Whisper Place: France / Paris Group: Iva Mrkic (Croatia), Alan Fogarty (Ireland), Franziska Mayr-Keber (Austria), Olivier (France). Outline of the project: The encounter will last for two weeks for European youths. Twenty countries are invited with eight participants, one workshop leader and one welfare leader. Among those twenty countries there will be one or two possible new European countries. Further more their will be a non-European country invited as a guest. This will be a once off visit for this country. As this is experimental it may be beneficial regarding funding. Our special project for this encounter will be to present the final performance for children that are terminally ill as well performing at Beaubourg (Centre Pompidou). This will involve the local community in the Edered encounter. We would like to incorporate a national hour for each participating country. This involves two hours per day donated to national hour within this hour they have the opportunity to exhibit there country through national confectionary’s, teach national dances, national songs and spirit. This will also include a short performance. These will replace the idea of market place and national evening. How does the project fit to EDERED and its principles? This will be a multi-cultural drama encounter. The changes we have made to the encounter are minimal. We feel that the structure is something that works very well. We will be hosting this encounter to show that the EDERED principles work. Two strengths of the project: 1.) New guest country and community involvement. 2.) Part of our concept led by a professional fundraiser and EDERED Alumni. Two weaknesses: 1.) A professional fundraiser is expensive and will have to be paid even if the project will not commence. 2.) Paris may be a difficult location for us as we are not familiar in the area and also very busy during the summer months. Your expectations/needs from the GA to support your project: We know this would be an excellent encounter and we need their help to find the guest country and to brief the guest country on the EDERED principles. We need the GA to provide us with needed information during the preparation of the project and to provide us with their years of experience e.g previous fund applications, contracts and passed encounters. Process/Meetings including dates and deadlines: We will start recruiting the professional fundraising team and the alumni in autumn 2008.The professional fund raising team will commence in January 2009. We will recruit the artistic manager in January 2010 and he/she will commence work immediately it will be the artistic director’s responsibility to select an assistant and an artistic team. We suggest the EDERED network is used.

ALUMNI SUMMER SEMINAR HELSINKI 2007 // Case Study results GROUP 2 (1/2) Year of Encounter: 2010 Theme: Differences Place: Vienna, Austria Group: Tibor Szolar (Hungary), Diane O’Connor (Ireland), Severin Matusek (Austria), Juliette Van Peteghem (Belgium). Outline of the project: • • • • • • • • • •

72 participants from fifteen to eighteen years old. Twelve countries sending six participants (Austria, Belgium, Croatia, Denmark, Estonia, Ireland, Hungary, Finland, Germany, France, Israel, Macedonia) Each country will send one workshop leader either from a drama or skill background and one welfare leader. The artistic director will choose six workshop leaders and six skill workshop leaders on receipt of recommendation / curriculum vitae from each participating country. Emphasis on combining artistic techniques such as music, drama, dance and video will be one of the important aims of the encounter. Drama and skill workshop leaders will co-facilitate together working with their groups through the two weeks encounter that will result in a final presentation incorporating Drama and the new skills. The project will aim to be as environmentally aware as possible during preparations and throughout the project (organic and local produce, fair trade t shirts, recycled paper, etc…) The organisers will seek support and sponsorship from NGOs such as Amnesty International, Oxfam, UNESCO, and other organisations working for children/ human rights. Staff members such as guides will be selected carefully and when possible on voluntary basis (local theatre/Arts students.) For the excursions and the closing party, emphasis will be placed on involving local youth artistic groups.

How does the project fit to EDERED and its principles? The entire preparation and the encounter itself modelled on EDERED philosophy: • The participant will benefit both personally and artistically while working through drama developing culture awareness. • The artistic, personal and welfare needs of the young people will be paramount throughout the project as they will be surrounded and trained by high skilled standard staff. • The encounter will be non competitive and focusing on creating a safe and fun environment for the participants.

ALUMNI SUMMER SEMINAR HELSINKI 2007 // Case Study results GROUP 2 (2/2) Two strengths of the project: 1.) Participants will have the opportunity not only to develop the skill of Drama but also learn new skills in depth. Different fields of artistic expression will be emphasized and incorporated in the workshops and in the final presentation. 2.) Consciously focusing on children welfare on a global level as fair-trade and organic products will be used where possible. Two weaknesses: 1.) The exact cost of skill workshops will not be defined until descriptions of the workshops are confirmed on selection of leaders. 2.) The use of fair trade, organic, recycled material could be more expensive but at the same time could be a good message for potential financial support.

Your expectations/needs from the GA to support your project: As much support as possible from EDERED veterans and previous organisers will be highly appreciated. Guidance in the fundraising process will be appreciated as well as support from the national representative from Austria. Process/Meetings including dates and deadlines: On the 10th of August 2007 the organisers will meet to work on a folder and a website which will contain all the information concerning the event. This folder will be sent the GA, national organisations, and potential sponsors. On the 10th of January 2008 the organisers will approach and select the artistic director and all the team needed for the event. In October 2009, there will be a meeting with the GA members and the artistic director at the selected venue. Following this meeting, the workshop leaders will be selected and invited to the preliminary meeting in April 2010. The encounter will begin on the 15th of July and end on the 29th of July 2010.

ALUMNI SUMMER SEMINAR HELSINKI 2007 // Case Study results GROUP 3 (1/1) Year of Encounter: 2013 Theme: Nature Place: Seminar ha’kibuzim, Tel Aviv, Israel Group: Amihai Elharar (Israel), Joonas-Petteri Nieminen (Fin), Günes Erden (Turkey), Ivana Nelkovska (Macedonia) Outline of the project: The EDERED encounter 2013 will take place for two weeks in Tel Aviv, Israel. It will include 10 countries with 10 participants each (5 males, 5 females) between the ages of 16-20. A group leader and workshop leader will accompany participants. Focus will be on handicapped children from the city of Tel Aviv. How does the project fit to EDERED and its principles? The encounter organizers will follow the EDERED principles. Two strenghts of the project: 1- The restriction to only ten countries allows more intensive working processes. 2- The theme of the encounter (Nature) is of a high relevance nowadays. Two weaknesses: 1- The location implies high flight expenses. 2- Difficulties of getting support from European organizations. Your expectations/needs from the GA to support your project: GA members should make sure that the national group will fit the age limit, have drama experience and contain equal number of males and females. GA should take care of explaining the principles of EDERED to both participants and workshop leaders before the encounter. Process/Meetings including dates and deadlines: 01/2011: Gathering local team, developing the concept (artistic and administrative team). 07/2011: Presenting the project to GA members, starting the fundraising work. Deadlines: 07/2011: Sending the invitation letters to countries 01/2012: Choosing the accommodation place, 01/2013: Signing sponsorship contracts 02/2013: Choosing venue for final performance 04/2013: Having the encounter logo, posters, booklets etc. 05/2013: Preliminary meeting 06/2013: Getting the participants profiles and approving them 07/2013: Opening speech 09/2013: Evaluation meeting, documentaries and reports

ALUMNI SUMMER SEMINAR HELSINKI 2007 // Case Study results GROUP 4 (1/2) Year of Encounter: 2012 Theme: Links Place: Mostar, Bosnia and Herzegovina Group: Kevin Knauer (Germany) , Daina Oniunas-Pusic (Croatia), Salme-Riine Uibo (Estonia), Mathieu Jasserand (France)

Outline of the project: The project in question is an EDERED encounter for children from the ages of 11 to 14. There will be 20 countries participating with 10 participants from each country, including a workshop and a welfare leader. The encounter will host a maximum of 300 people. The focus of the project will be to connect people, surpassing political, cultural and religious barriers. This is the reason the encounter will take place in Mostar – a city highly in need of cultural reunification. The project would be beneficiary not only for the participants, but for the city itself and quite possibly the whole region. For this reason, we would like to include official representatives from Croatia, Bosnia and Herzegovina and Serbia. How does the project fit to EDERED and its principles? The encounter will be organized in respect to the principles of EDERED. A special focus will be on the children from the region. The national organization of Bosnia and Herzegovina will be informed that their team should consist of an equal number of Croatian and Muslim Bosnians. This is one of the possibilities for communicating sharing and respecting other cultures. EDERED should show that cultural exchange and promotion does not end on the border of the European Union but must extend to other regions, especially ones that have political and economical problems. Two strengths of the project: 1.) Location: given the location, theme and the aim, the encounter is bound to have great visibility and enough strength to initiate a true change in the city of Mostar. This project would also allow children from all over Europe to experience a region they have only heard about on the news in relation to the war. 2.) Finances: Since the encounter is being held in an underdeveloped region there are many organisations that have already invested in projects like these and would be interested in supporting this project. The economic situation has caused expenses in Bosnia and Herzegovina to be much lower than other European countries which would allow a smaller budget.

ALUMNI SUMMER SEMINAR HELSINKI 2007 // Case Study results GROUP 4 (2/2) Two weaknesses: 1.) Location: Some parents might be reluctant to send their children to a place like Mostar and their concerns would put more pressure on the organisation team. The team could also have problems given the existing tension between the two communities living in this town. The staff must be carefully chosen to avoid these conflicts. 2,) Finances: it will be difficult to organize an encounter in a country that is as impoverished as Bosnia and Herzegovina. This situation will force the organizers to strictly control the budget of the encounter. Since the national organization is young the network is not as developed and that will present a bigger burden on the organization. Your expectations/needs from the GA to support your project: We expect that GA members help us regarding contacts of international organizations which are suitable for fundraising. We expect their help in selecting the artistic director, giving guidelines for organizing the encounter and templates for official documents. Process/Meetings including dates and deadlines: 2009 January: First official meeting of the organization team, first meeting with the city of Mostar. 2009 September: Deadline for the budget of the encounter and beginning of fundraising. 2010 January: Selection of the artistic director. 2011 September: Preliminary meetings with the GA and invitations to the participants 2012 April: Preliminary meeting for workshop leaders 2012 August: EDERED encounter LINKS in Mostar 2012 September: Evaluation meeting in Mostar
