Location The conference will be held at the Thistle Hotel Brighton, located directly on the seafront, minutes from Brighton Pier. Thistle Hotel is also located within minutes of Churchill Square – some of South England’s shopping, theatre and entertainment. The talks will be held in the Renaissance Room and lunch will be held in the Promenade Restaurant.

Travel and Visas By air The nearest airport to Brighton is Gatwick Airport. Gatwick Airport is 30 minutes from central London via the non-stop Gatwick Express, and has rail links to destinations all around the UK. Brighton train station is a 20-minute walk or short cab ride away. Trains run direct from London Victoria in approximately 50 minutes. The Thistle car park is located beneath the hotel. Spaces are on a first come first served basis and are chargeable at £20.00 per 24 hour period or part thereof. Registration Registration will be held in the Renaissance foyer from Wednesday 18 January to Friday 20 January. Times are as follows: Date Wednesday 18 January Thursday 19 January Friday 20 January

On arrival, each participant will receive a delegate pack containing a pen and pad, a programme and book of abstracts, and a lapel badge. Please wear your badge at all times because this will help with security and enable you to identify your fellow delegates. Replacement badges can be issued at the registration desk. On your departure, please return your badge to the registration desk so that it can be recycled.

Messages A message board will be placed near the registration desk. Participants should check the board for messages as an attempt to locate participants will only be made in the case of an emergency. During registration times, messages can be left by emailing [email protected]. Messages can also be sent by fax to +44 (0) 1273 820692.

Social programme Thursday 19 January The Conference Gala dinner will take place in the Renaissance at 19:00 The conference gala dinner is included within the registration fee. Accompanying guests are welcome to attend the conference gala dinner at a cost of £20.00 + VAT. Places must be pre-booked in advance of the conference. (Due to availability) Please contact Dawn Stewart.

Dietary requirements Participants with special dietary requirements are asked to notify the conference office by e-mail prior to their arrival if they have not already done so when registering. Those with special dietary requirements other than vegetarian are asked to make themselves known to the catering team. It will not be possible to provide an alternative menu unless prior notification has been received. Nut allergies – unfortunately the hotel cannot provide assurances that food has not been cross-contaminated with traces of nuts during ingredient processing at manufacture’s sites, and during food preparation and on-site. For this reason, we are unable to provide guarantees that any of the food served is free from nuts or trace elements. Please e-mail [email protected] if you have any queries.

Internet access Wireless broadband is available in bedrooms and throughout the hotel. You will need to purchase a voucher from the hotel reception to obtain access the cost for the vouchers are £10.00 for 24 hours and £6.00 for 90 minutes.

Departure Residential guests are asked to vacate their bedrooms by 11.00. Keys should be returned to reception. Breakfast Breakfast for residential participants will be served daily at 07.00-10.00 in the Promenade Restaurant on the ground floor of the hotel. Presenter’s information Speakers are requested to send their final presentation by Monday 16 January as a PDF or PowerPoint file prior to the conference by e-mail to [email protected]. Please bring a back-up copy on a CD or USB memory stick. If you are unable to send your presentation prior to the conference, please bring it with you on a CD or USB memory stick. You should save the presentation into the appropriate pre-named session folders on the desktop of the house computer and files should be saved by surname and initial. To optimise compatibility, particularly for the inclusion of multimedia components, PowerPoint presentations should have been saved using PowerPoint’s “Package for CD” facility. Direct connection of personal laptops (with set-up in the break prior to the corresponding session) is an acceptable but not preferred alternative. The meeting space is reasonably large so speakers should use a minimum 15-point font size in PowerPoint slides to ensure legibility. Presenters are asked to prepare their talks to match the allocated times which will be rigidly enforced by session chairs.

Safety information Emergency evacuation procedures All of the areas used by the conference are covered by the hotel’s fire-alarm system. Occupants are expected to leave the building as quickly and safely as possible and make their way to a fire-assembly point. The main assembly point is located directly behind the hotel in Bart’s Square. All bedrooms have instructions concerning firealarm activation and which assembly point to go to, and all participants should familiarise themselves with the safety instructions on arrival. First aid If you fall ill or injure yourself during the conference, please report the incident to the registration desk or a member of Thistle Hotel staff who will call a trained first-aider. In case of serious injury, paramedics will be called. Smoking In accordance with government legislation smoking is not permitted in any building. Behaviour and conduct The Institute of Physics and the Thistle Hotel reserves the right to charge in full for loss or damage to the hotel.

General Local taxi numbers Taxi – 01273 747474 Travelling by taxi or minicab is generally very safe, but it is important to take sensible precautions, like making sure the vehicle is licensed. Local bank and cash dispenser The cash dispenser is in hotel foyer. They will be a charge of £1.75 for use of the dispenser.
