Welcome to the Press Rate Card Catalogue for PyeongChang 2018 Olympic Winter Games. PyeongChang 2018 offers its rate card products and services for rent or purchase in order to assist Games participants to operate during the Games time. Standard rental period is 34 consecutive days from 26 January 2018 to 28 February 2018. For certain items like vehicles the standard rental period may be extended for incremental seven day periods and will be charged accordingly. Items and respective prices for extensions are indicated in this catalogue. In this catalogue you will find products and services offered to the press which include : - Private office space at the Main Press Centre - Technology – telecom, systems, equipment, IPTV - Furniture, fixtures and equipment - Vehicles and Vehicles Access and Parking Permits(VAPPs) stakeholders. Products and services that are not offered in this catalogue can be requested as a non-standard order and the rate card team will make all reasonable efforts to ensure your request is fulfilled. Items listed in the catalogue will be available for order through the rate card portal (https://ratecard. pyeongchang2018.com) which will open on February 1, 2017. Terms and Conditions
General Information PyeongChang 2018 has created a Rate Card order portal to facilitate the ordering process. Customers can browse product categories to find the products and services that fit their planning and operational needs and rent or buy them for use during the PyeongChang 2018 Olympic Winter Games. Rate Card orders prior to the Olympic Games can only be placed through the Rate Card order portal. To access the portal customer is required to register on the PyeongChang 2018’s portal at ratecard.pyeongchang2018.com. Following the PyeongChang 2018’s approval, a username and temporary password will be forwarded via email to customer. Rate Card order portal can be accessed through a link on PyeongChang 2018 Extranet or directly at: ratecard.pyeongchang2018.com from 1 February 2017. PyeongChang 2018 encourages customers to place their order as soon as possible. PyeongChang 2018’s ability to meet the customers’ needs will directly depend on the quality and completeness of information received, therefore, accuracy of the order and respect of timeline will be greatly appreciated. In the event that PyeongChang 2018 is unable to fulfil a request, the customer will be notified in a timely manner and an alternate solution will be proposed. During the Games-time period a limited number of items will be available for order at Rate Card desk at Main Press Center (MPC) and Gangneung Media Village. Rate Card helpdesks at MPC and village(s) will be open and available to provide customers with a list of items available during this period.

Overview Rate Card is a service provided by PyeongChang 2018 to customers that will be coming to PyeongChang in 2018 for XXIII Olympic and XII Paralympic Winter Games and are eligible to use the Rate Card program. The Rate Card catalogue available at ratecard.pyeongchang2018.com portal lists goods and services that are available for rent or purchase by customers in accordance with the terms and conditions below. The Rate Card team will provide a complete end-to-end service to customers: ordering, invoicing, payment, procurement, delivery, installation (except for items that should be mounted to a wall, this service is to be requested as a non-standard request), assembly, on-site maintenance and service, collection and removal are all included in the service.

Customers who are present for both the Olympic and Paralympic Games and who wish to extend Olympic rentals to include the Paralympic Games period should place a second, separate order via the Rate Card Order Portal for the Paralympic period. A discount may be offered to the full Paralympic price where the same product or service is rented in the same location for both Olympic and Paralympic Games – customers instead pay the ‘Olympic extension rental price(TBC)’ This discount will be applied to the order by the Rate Card team as part of the order approval process. Customers who are present for both the Olympic and Paralympic Games will not be required to pay two separate Loss and Damage deposits for their orders. The Olympic L&D deposit will cover both rental periods (except in case where the Paralympic deposit required is higher than the Olympic deposit.)

Rental Periods
Note on Post-paid Telecom Services:
Standard Rental Period The PyeongChang 2018 Olympic Winter Games rental period is from 26 January 2018 to 28 February 2018 inclusive, being a total of 34 consecutive days. These 34 days are the standard rental period. No discount will be given should an item or service be used for less than the standard rental period.
Extensions to the Standard Rental Period Certain items may be available to rent outside the standard rental period, but not prior to 9 January 2018 and not after 28 February 2018 unless a separate order has been placed for Paralympic Games. For certain items like vehicles the standard rental period may be extended for incremental seven-day periods and will be charged accordingly. Items and respective prices for extension are indicated in the catalogue. Technology items rented outside the standard rental period will incur an extension charge as shown in the catalogue.
Post-paid telecom services are only available for ordering during Normal and Late order periods (not available for order during Games-time period). Post-paid telecom services are not available to private individuals. During the period of providing a post-paid telecom service, PyeongChang 2018 will monitor customers’ actual usage against the usage deposit paid. PyeongChang 2018 will work closely with the customer to ensure that actual usage will not exceed the usage deposit and will use all means necessary to reduce risk of this happening (including asking the customer to pay additional usage deposits). Actual limit will be set to the amount of deposit paid. In the case of actual usage significantly exceeding the usage deposit paid and indications that the difference between actual usage and deposit paid may not be paid by the customer, PyeongChang 2018 reserves the right to ask the telecom partner to stop providing the service to that customer. After the service has been provided, PyeongChang 2018 will issue an invoice to a customer indicating an actual amount due for the services provided. PyeongChang 2018 will use the customer’s usage deposit to pay the related provider(s). In the case of actual amount due being less than the amount of usage deposit paid, PyeongChang 2015 will return the difference. If the usage deposit paid is less than the actual usage, an invoice will be issued for the difference. Customer has to pay the invoice by the date indicated on the invoice.

Ordering Process Rate Card orders can only be placed through the Portal ratecard.pyeongchang2018.com during the Normal and Late order periods. During the Games-time order period, orders can be placed at one of the Rate Card desks at the International Broadcast Centre or the Media Village, Main Press Centre or the Media Village, PyeongChang Olympic Village or Gangneung Olympic Village. Orders made at Rate Card desks during the Games-time should be paid by VISA cards or cash at the time of the order. PyeongChang 2018 encourages customers to place their orders as soon as possible and will allocate all products and services based on availability. Placing an order in the Rate Card order portal is a fact of accepting a public offer agreement between PyeongChang 2018 and a customer placing that order (details can be found on the Rate Card order portal from 1 February 2017).

Late and Games-time Orders All Rate Card orders submitted after the end of the Normal order period will be considered Late orders. They will be processed in order of receiving the orders. Late orders will only be accepted by PyeongChang 2018 on an “as available” basis and may be subject to a 25% higher price to cover additional sourcing, administrative, installation, and other costs. The ability to fulfil Late orders may be limited. Products may not be available.

All prices, deposits and fees listed in this catalogue are quoted in American Dollars (USD/US$). All prices quoted in this catalogue are valid only for Rate Card orders submitted during the Normal order period. PyeongChang 2018 reserves the right to amend any price in the catalogue, subject to prior approval by the International Olympic Committee (IOC). The Rate Card portal will be updated accordingly and any such amendments will be communicated promptly to customers. In case of discrepancies of pricing and product descriptions between this catalogue in PDF format and the online Rate Card catalogue available on the Rate Card order portal, the latter shall prevail.
Value Added Tax (VAT) Details will be provided at a later date. In the unlikely event that PyeongChang 2018 rejects or cancels all or any part of an order, it will refund any amount already paid by that customer in respect of such parts of the order rejected or cancelled. Amounts to be refunded will either be applied to future orders made or refunded along with excess deposits after the Games.
Olympic and Paralympic Order Combined Customers who will cover both the Olympic and Paralympic Winter Games and who wish to extend Olympic Rental agreements to include the Paralympic Games period may do so at an incremental price rather than the listed Paralympic Games price. Details will be published later.
Invoicing Process Any orders submitted during the Normal order period and accepted by PyeongChang 2018 will be invoiced from 1 August 2017 onwards. Customers wishing to be invoiced before this time should contact the Rate Card team. Any orders submitted during the Late order period will be invoiced following acceptance of the order by PyeongChang 2018, and no later than 15 December 2017. One separate deposit invoice, covering all loss and damage (L&D) and usage deposits related to all orders placed during the Normal and Late order periods will be issued on 1 December 2017. PyeongChang 2018 may invoice customer on the basis of the Rate Card order as submitted by the customer through the order portal.
Order Confirmation All Rate Card orders will be reviewed by the PyeongChang 2018’s Rate Card team. PyeongChang 2018 will confirm acceptance or non-acceptance of orders via Rate Card order portal and e-mail. However, no Rate Card orders are guaranteed until full payment has been received. If PyeongChang 2018 has not received the full payment for customer orders, PyeongChang 2018 reserves the right not to deliver the orders to that customer. PyeongChang 2018 reserves the right to amend the catalogue or provide reasonable substitutions after an order has been approved. Customers will be notified of any such circumstances. In such cases, the customer has the right not to accept the substitution and cancel the order, incurring no cancellation charges. This applies during all order periods.
Spectrum Orders During the PyeongChang 2018 Olympic Winter Games all users planning to use wireless devices such as walkie talkies, Wi-fi routers must submit their requirements to PyeongChang 2018 to obtain a license via Spectrum Order Portal (SOP). This can be accessed via the Rate Card order portal at ratecard.pyeongchang2018.com.

Payment Process All invoices, including invoices for L&D and usage deposits, must be paid within the period stated in the invoice but no later than the 15 December 2017. Rate Card orders are not guaranteed if the payment is overdue. The date of payment is the date when PyeongChang 2018 receives the funds on its accounts. Payment must be made from the customer’s bank account or by other means that can be traced and confirm that payments was made by the customer or by individual/legal entity instructed to make payments on behalf of the customer. Payment details will be provided with an invoice. The customer is responsible for payment of all bank charges, including transfer, conversion, commission and any other fees related to payments made to PyeongChang 2018. The amount received by PyeongChang 2018 must be no less than the amount due. All prices, including the deposits, in the Rate Card catalogues are in American Dollars (USD/US$). All payments for Rate Card orders should be done in American Dollars (USD/US$). Games-time orders (and any associated deposits) must be paid at the time of order. Games-time orders must be paid by cash or VISA card. Receipts will be issued for all Games-time payments.

Loss and Damage Deposits Refunds Where applicable, Loss and Damage(L&D) deposits are listed next to the items in the catalogue. It is a deposit that goes towards the potential loss of or damage to an item. The L&D deposit listed is the maximum amount that PyeongChang 2018 will deduct in the event of any loss or damage to that item. The total L&D deposit payable to PyeongChang 2018 will be the sum of the individual L&D deposits for each item ordered, subject to a total limit per customer of USD 35,000. One deposit invoice, covering all L&D and usage deposits (related to all orders placed during the Normal and Late order periods), will be issued and must be paid within the period stated in the invoice but no later than the 15 December 2017. If the total damages by a customer exceed the total L&D deposit paid, PyeongChang 2018 may recover the outstanding balance due by, firstly, setting off other monies it holds in respect of the customer and, in the event any balance remains outstanding, by issuing an invoice to the customer. The customer agrees to pay any such invoice by the date indicated on the invoice (within 30 days of the invoice issue date). If the check-out procedure is not completed by the customer, PyeongChang 2018 reserves the right to conduct a damage assessment in the customer’s absence and retain any deposits as necessary. This damage assessment is final and is not subject to dispute.
Usage Deposits Where applicable, usage deposits are listed next to the services in the catalogue. It is a deposit that goes towards the charge for usage of such services. By paying the usage deposits customer grants PyeongChang 2018 the right to make payments on its behalf to the suppliers of the services. The total usage deposit will be the sum of the individual usage deposits for each telecommunication service ordered, and the total usage deposit will be capped as follows:
A customer must complete the PyeongChang 2018’s check-out procedure described below in order to receive a refund for the L&D and usage deposits. If the check-out procedure is not completed by the customer, PyeongChang 2018 reserves the right to conduct a damage assessment in the customer’s absence and retain any deposits as necessary. All refunds will be paid in American Dollars (USD/US$). If no deductions are made, PyeongChang 2018 wires the same amount in American Dollars (USD/US$) received as deposits. All the expenses charged by the client’s bank (including any corresponding bank) are to be paid by customers. PyeongChang 2018 will make every reasonable effort to send any refunds to customers no later than 31 May 2018. L&D Deposit Refund PyeongChang 2018 will refund the L&D deposit, less amounts compensating PyeongChang 2018 for loss, theft or damage. PyeongChang 2018 reserves the right to deduct from a deposit refund to a customer any other amount owed to PyeongChang 2018 by that customer. Usage Deposit Refund If the total of the actual usage by a customer does not exceed the usage deposits paid, PyeongChang 2018 will calculate the refund using the difference between the usage deposit paid and the actual usage. PyeongChang 2018 will email customers a confirmation of the total deposits paid by the customer, less the charges due for lost or damaged items and/or insufficient usage deposits, if any. PyeongChang 2018 will inform the customer of the amount to be refunded no later than 31 May 2018. PyeongChang 2018 reserves the right to deduct from a deposit refund to the customer any other amount owed to PyeongChang 2018 by that customer.

Customers may request goods or services that are not listed in the standard catalogue. Such non-standard requests are also submitted through the Rate Card order portal. PyeongChang 2018 will use reasonable commercial efforts to satisfy such non-standard requests. It is recommended that non-standard requests are submitted as early as possible. If PyeongChang 2018 is able to fulfil a non-standard request, a price quote will be provided through the portal. Once the customer has accepted the price quote, PyeongChang 2018 will consider the order confirmed. Unless otherwise agreed between PyeongChang 2018 and the customer, treatment of invoicing, payments, cancellation fees, deposits, refunds, check-in and check-out will be the same as for standard catalogue orders
PyeongChang 2018 is entitled to apply any or all of the usage deposit against the actual usage charges incurred by the customer for all post-paid telephone services. PyeongChang 2018 may increase the usage deposits for postpaid telecom orders placed during the Games. One deposit invoice, covering all L&D and usage deposits (related to all orders placed during the Normal and Late order periods) will be issued and must be paid within the period stated in the invoice but no later than the 15 December 2017. If the total usage owed by a customer exceeds the total usage deposit paid, PyeongChang 2018 may recover the outstanding balance due by, firstly, setting off other monies it holds in respect of that customer and, in the event

Check-in and Check-out Process
Insurance
Check-in (arrival) Upon arrival, an authorized person (subject to check, a person has to provide the necessary documents (TBD) that confirms he/she is authorized to act on behalf of the Organisation he/she represents) from each customer will be required to ‘check-in’ or confirm acceptance of all ordered items and services. This confirmation (signed “Act of property transfer”), a countersigned copy of which will be given to the customer will indicate the customer’s acceptance of delivery and acknowledgment of correct installation, setup and working conditions of all listed products. Confirmation of a purchase of products is indicated by the signed “Consignment note”, a countersigned copy of which will be given to the customer. Thereafter, all risk of loss, theft or damage to the items will be the customer’s responsibility. Timing and location of check-in will be coordinated directly with each customer. During the Games, additional deliveries of products or services will involve a similar confirmation procedure. This applies to new orders placed during the Games.
Check-out (departure) Prior to departure, an authorized person (subject to check, a person has to provide the necessary documents (TBD) that confirms he/she is authorized to act on behalf of the organisation he/she represents) from each customer will be required to ‘check-out’ or confirm the return of all rented products to PyeongChang 2018. This confirmation (signed “Act of property transfer (return)”), a countersigned copy of which will be given to the customer will indicate the customer’s return of all rented items in proper working condition and undamaged (except for reasonable wear and tear). PyeongChang 2018 will provide written confirmation that the process has been satisfactorily completed and note any lost or damaged items. If this check-out procedure is not completed by the customer, PyeongChang 2018 reserves the right to conduct a damage assessment in the customer’s absence and retain any deposits as necessary. This damage assessment is final and is not subject to dispute. Timing and location of check-out will be coordinated directly with each customer.
Rate Card prices do not include insurance, except for all vehicles rented from through PyeongChang 2018’s Rate Card program. All risk of loss, theft, misuse or damage to products (vehicles excluded) and misuse of services from the moment of acceptance to the moment of return to PyeongChan g 2018 will be the responsibility of a customer.
Ownership of items With the exception of consumable items and items that are for sale (which will become the property of a customer) all items will remain the property of PyeongChang 2018 or its suppliers. Customers must keep the items free from any claims and must return the items to PyeongChang 2018 prior to their departure (check-out) and by the end of order period
Repairs and Replacements PyeongChang 2018 agrees to promptly repair (if feasible) or replace (if available) all items ordered from the Rate Card which PyeongChang 2018 determines to be malfunctioning or unusable as long as a customer has not adjusted, serviced or made any repairs (other than modifications in line with manufacturers’ instructions). PyeongChang 2018 will only provide this support in relation to items used at official Games venues. Should the customer choose to move an item to any other location (excluding mobile phones, vehicles and VAPPs), PyeongChang 2018 hereby relieves itself of the responsibility to repair or replace such item. In case that PyeongChang 2018 will not be able to repair or replace all items ordered from Rate Card, the customer will receive a refund. Amounts to be refunded will either be applied to future orders made, or refunded along with excess deposits after the Games
Product-specific terms and conditions Certain products and services may be subject to further terms and conditions. Further details will be published alongside the relevant item in the Rate Card order portal.
Other Legal Dispute Catalogue changes PyeongChang 2018 reserves the right to amend the catalogue, provide reasonable substitutions after an order has been accepted and change if an item is for sale or rent at any point (subject to prior approval by the IOC). Customers will be notified of any such circumstances and have the right not to accept the substitution and cancel the order, incurring no cancellation charges. A complete and updated listing of the actual products and services available will be available online at ratecard. pyeongchang2018.com. In the event of discrepancies between the Rate Card catalogue and its online version, the online catalogue will be accepted as the official PyeongChang 2018 Rate Card catalogue for Press.

These terms and conditions and any others relating to the provision of Rate Card products and services shall be governed by Korean law and are subject to the exclusive jurisdiction of the Korean courts. The legal language for court proceedings shall be in English.

Customers must identify the location of all outlets required in the layout.
There is space available in the Main Press Centre for rental as private offices by accredited organisations. Space will be available for rental in 25m2 modules. Organisations may request to rent any number of modules. All requests to rent office space must be submitted in the Intent to Rent form posted in on the rate card portal from 1 December 2016 Intent to rent must be submitted until 28 February. Standard power in Korea is supplied either 220V single phase or 380V three phases. All electrical equipment supplied through Rate Card will include a national standard KS C IEC 60884-1 (Type F, CEE 7/3 “Schuko”) 2 pins + earth plug. Customers wishing to bring their own appliances may need adapters or conversion equipment to conform to the standard power supply. The price listed includes all consumption electricity costs for the entire period of use of the private office space. Supply may be used for equipment up to maximum load indicated. Individual circuit is provided with earth leakage breaker that meets its purpose and environment. Each circuit will be protected by an earth leakage breaker. All electrical equipment supplied through the Press Rate Card will be supplied including a standard two-pin + earth fused plug. Customers wishing to bring their own electrical equipment to Korea may need adaptors or conversion equipment to conform to the standard power supply.

Private RJ45 Socket – exclusive use (Press) Exclusive use of an internet access port (RJ45 sockets) is wired to a specific location within designated venue areas for exclusive use. The productcan be ordered for the following locations: MPC Private Office Spaces, press tribunes, press and photo workrooms, and prime photo positions. Ordering these products will not guarantee a photo position. If the order is approved we will assign the specific location at the requested photo position area. A separate order for each specific location must be placed for each location, each sport and in each venue. Also consider that the sports are held across multiple venues. Dedicated Internet Access
The service is provided exclusively in the IBC and MPC.
Dedicated Internet Access service provides a choice of four dedicated connection speeds of 5, 10, 50 or 100 Mbps; each with one static IP address. Service is delivered via a dedicated port at the location indicated on the order. It is subscriber’s responsibility to ensure that their equipment is configured correctly with their assigned address and IP configuration. This service is ideal for customer groups who wish to deploy their own LAN infrastructure within their dedicated workspace and wish to connect devices on that LAN to the internet.
The client interface will be an RJ45, delivered to the desired installation location specified at the time of order. Confirmation is subject to the approval of PyeongChang 2018. Customers are responsible for providing necessary ISDN end devices. Olympic Network Telephone System (ONTS) and domestic calls are not available with this service. ISDN can be used for international outgoing and incoming calls, however, international incoming calls are not guaranteed.

Olympic Data Feed The Olympic Data Feed (ODF) provides real-time access to Games results, competition schedules, medals, records, news, biographies, common codes, weather, and statistics. The feed is XML-based with messages pushed for all the Olympic disciplines from Games systems to the customer’s receiving system using HTTP POST. Customers are responsible for receiving, processing and using messages within their own systems. Customers may choose to receive data for one or all disciplines or filter by message types, limit the frequency of live messages, etc. The feed is transmitted to customers over the internet regardless of the one’s location. For those who require a certain level of reliability of the feed can place a separate order of internet from“1.1Internet Services”. Customers will be allowed to receive ODF in up to three different locations or IP addresses. In case a client requires ODF in more than three locations, an additional order needs to be placed. MyInfo will be provided over internet, but PyeongChang 2018 is not responsible for the performance of the customer’s connection to the internet through their own service provider or for the performance of the internet in general. MyInfo provides some notable additional features not available at the dedicated workstations. These include: - Hyperlinking to other key websites, such as IOC and IFs, for news, articles and historical results, as well as social network profiles for the athletes; - Ability to copy and paste favourite events and follow them from a single screen; - MySchedule to define favourite events and follow them from a single screen; - Preferred NOC allows user to easily find news, biographies and schedules of the selected NOC being followed during the Games. MyInfo service is optimised for use on personal computers (PC, Mac, Tablet) with a screen resolution of 1024*768 and also for devices from 7” upwards, as well as for a range of commonly used browsers, including Internet Explorer, Firefox, Chrome and Safari.
Clients are solely responsible for installing their own software. The specifications for the laptop and the desktop represent the minimum configuration. The actual configuration may be changed to reflect hardware and/or software advances. This service provides the user with a laptop or a desktop, screen, keyboard, mouse and patch cable RJ45. The service also includes delivery, installation, helpdesk support 24 hours per day, seven days per week during the Games, and removal. The following software is included: Microsoft Windows 10 Long Term Servicing Branch (English Edition), Microsoft Office 2013 and Anti-Virus (Ahnlab V3) Desired Installation location must be defined at the time of order. Furniture, Fixtures and Equipment – FF&E
TRS is based on LTE-PTT (Push-to-Talk). Provide LTE coverage over all areas within Olympic borders, and group call services can be used without limitation due to the distance between subscribers. TRS provides high-quality digital voice calls. The maximum time to establish a connection is less than one second, and the chance of dropped calls in the network is less than 5%.
The rental price for all FF&E items includes the delivery and assembly of the item prior to the customer arrival, and removal of the item upon departure. Product finish, colour, material or detail may vary depending on product availability.

Vehicle Rental
Vehicle PyeongChang 2018 will provide compact, mid and full-sized sedans, small and full-sized SUVs and mini-vans as Rate Card items.
Road assistance is included in the price of the vehicle. In case of replacement, a vehicle of the same category is not guaranteed. Customers will be solely responsible for all fines, costs and legal fees for any and all law and traffic violations committed or fines incurred during the rental period. Vehicles will be inspected for damages upon check-out, and relevant fees will be deducted from the loss and damage deposit, if necessary. A complete list of damages and related fees will be provided in the fourth quarter of 2017. Infant car seats will not be provided.
Vehicles are available to order for a fixed minimum period of 34 days from 24 January to 26 February 2018, but can also be supplied for additional seven-day extension periods. VAPPs Due to high demand, PyeongChang 2018 cannot guarantee delivery to all Rate Card customers. Reservations will be accepted only by vehicle type, not by specific make or model. However, each vehicle in its respective group will meet the specifications as outlined in the vehicle description. PyeongChang 2018 will make every effort to provide the customer’s preferred vehicle, but reserves the right to substitute with a similar vehicle.
Vehicle Access and Parking Permits (VAPPs) are not included with the vehicle rental and must be ordered separately.
Insurance Driver’s License
Details of the insurance policy will be communicated at a later date.
