2006-2007 – Composition of the French ASFA indexing network : Board member and input staff names In 2007, as in 2006, we are 7 members (but 9 indexers) in the French network. We remind that at the beginning of 2006, we had the disengagement of the collaborating center INRA (Institut National de la Recherche Agronomique)-Station d’Hydrobiologie ST Pée sur Nivelle (first French institution which began ASFA in 1971, as Institution located in Biarritz), before the intervention of CNEXO (Centre national d’Exploitation des Océans) in 1972 as responsible for the French national ASFA network and the role of IFREMER (merging of CNEXO and ISTPM) which assumes, since 1984, this responsibility of the ASFA inputter in France and coordinator of the French ASFA Input network ; during many years INRA was an important collaborating center in the French input network…(to see French Input statistics in Annex 1). We must to indicate also, in 2006, the participation of the librarian of Ifremer Palavas as a new ASFA indexer. In 2007, we have the change of the indexer at Museum National d’Histoire Naturelle (MNHN) but no change in the other centers: the same input staff at Intechmer, SHOM, INRA SCRIBE, Station biologique de Roscoff, Cemagref To find new collaborating centres becomes very difficult. In August 2007, the actual composition of our network is the following: :

You can see the French ASFA Input in the Annex 1 (ASFA/2007-29a). We also can indicate that the official documents sold by IRD Edition (old indexing center) are analyzed now by myself or if they are co-published with other institutes as MNHN, the literature is analyzed by MNHN. 2006-August 2007 – French ASFA Input statistics with the WWW-ISIS ASFA Software and ASFA on CSA

You’ll find the French statistics of ASFA input as follow : Since 2004, all records submitted to CSA have been prepared using the www-ISIS-ASFA software. All input centres use the www-ISIS-ASFA software in a alone environment. Since 1988, the number of records sent to CSA via FTP (File Transfer Protocol) is the following : Repartition of the French Input from 1988 à 2006 (records sent to CSA) année notices

At the ASFA Board 2003, CSA noted the following statistics for the French input from 1988 to 2003 and we added, in this paper, the French input sent in 2004, 2005 and 2006: année notices

After a French ASFA input decreasing strongly in 2001 (1175 records in 2001 instead of 1651 in 2000), we had, each year, from 2002 to 2005, an increase of the French ASFA input : + 5% in 2002 with 1232 records, + 1,8 % en 2003 (with 1254 records), up 2,1 % in 2004 (with 1280 records), an input increase of 14,37% in 2005 with 1464 records, but in 2006 we show a “small” decrease because the French input reached 1356 records (ie down 7,4 %)

We noted in 2006 the disengagement of INRA St Pee, the arrival of the Librarian of Ifremer Palavas in the indexer network : Ifremer

INRA / Station de Cemagref TOTAL SCRIBE Roscoff 2006 629 386 88 135 46 72 0 1356 In 2006, at Ifremer, the repartition between the 3 indexers was the following: 471 notices par J. Prod’homme , 158 par Marie Josèphe Debos (Ifremer Palavas), and 0 record by F. Cabane (Ifremer Brest / Dyneco)

This decrease of the input between 2005-2006 (1356 records instead of 1464 records, i.e down 7,4 %) is explained by a empty input of Cemagref (0 record), by a lower input at INRA SCIBE because of a parental leave , and also a lower input at MNHN and at Intechmer, but fortunately Ifremer increased its input (up 40 %) ie 629 records in 2006 instead of 450 records in 2005, more symposium papers and 120 dissertations analyzed and we note also the strong collaboration of SHOM with 386 records (+ 18,7 %). The French ASFA input could be yet more significant but there is always a lack of manpower (indexers) in some indexing centres, We have always a small backlog in the input : at the level of the grey literature specially for Cemagref, At Ifremer we have a little delay in the input of some serial titles not cover to cover and which are published very irregularly, but on the other hand in 2005-2006 we make up for lost time which we had in the indexing of the grey literature as dissertations (thesis) because in 2006 we analyzed 125 thesis (dissertations) ie 9,2% of the 2006 input (total : 1356 rec.) instead of 96 thesis in 2005 (6,6% of 1464 records), 59 thesis in 2004. 31/08/2007

About 2007, there are 851 records sent to CSA on 26 July but on the server CSA/Illumina/ASFA 624 French records appear on 1st August (update 200707) : 264 records in ASFA 1 (if07* and asfa 1 (SF)), 331 records in ASFA 2 (if07* and asfa 2 (SF)), 85 records in ASFA 3 (if07* and asfa 3 (SF)). We have the matter to index but there is often a problem of no availability of people. But it is important to have an excellent input (better to have a work of quality rather than to have a quantity !!!!!) You’ll find enclosed the complete statistics of the French ASFA input and the distribution between French indexing centres on the period 1982-2006 in the Annex 1 ASFA/07/29a and below only the figures “Production française 2000-2006 by members of the French ASFA network. The French ASFA input can be shown under various distributions : we have the distribution according to the ASFA journals with journal indicated in Subfile SF (ASFA1, ASFA 2, ASFA 3) in CSA/Illumina/ASFA .

A commentary on the French ASFA input : 1356 records in 2006 ie a low input decrease of 7,4 %). in comparison with 1464 records sent to CSA in 2005 (a increase of 14,37%/ comparison 2004), 1280 records in 2004 (+ 2,1% /comparison 2003), 1254 records in 2003 (+ 1,8 % en 2003), 1232 records in 2002 (+ 5%), In 2006, 41,5% of records dealing with ASFA 1 (Biology Sciences and Living resources) instead of 51 % in 2005, 52 % in 2004 and 2003, 62.74 % in 2002, 76.51% in 2001 -> also we note a decrease in ASFA 1 since many years. 56,2% of records dealing with ASFA 2 (Ocean technology and non living resources) in 2006 instead of 46% in 2005, 44,6% in 2004, 44% in 2003, 30,92 % in 2002, 25,11 % in 2001 Æ an increase since many years. and in 2006, 6,3% of records are listed in ASFA 3 (Aquatic pollution and environmental quality) instead of 15% in 2005, 11,8% in 2004, 12 % in 2003, 14 % in 2002, 4,9% in 2001. In 2006, about the 1 356 records of the French network, 28 records appear in ASFA 1 + ASFA 2 (instead of 69 in 29 records are in ASFA 1 + ASFA 3 (instead of 75 in 2005), 4 records appear in ASFA 2 + ASFA3 (instead of 24 in 2005), 1 record is in the 3 bulletins ASFA 1 + ASFA 2 + ASFA 3 (instead of 4 in 2005).

In 2006, we can indicate also the classification supplied by CSA in the Interface Illumina ie the results of the French ASFA input 2006 as following : All Publication types : 1356 results (IF06*) appearing as - 581 Journals (with 452 Peer-Reviewed Journals), - 646 Conferences, - 34 Books, - 2 Reports, - 125 Dissertations (and the Document type Conference can be a journal article or a Book). or also a third classification presented in Interface Illumina : 1356 results with: - 581 Journal Article (whose 32 rec. marked also Conference or 549 Journal article without conference), - 773 records marked Book Monograph (with 125 marked Book monograph + dissertation) - 2 records marked Report. We can also indicate via ASFA on CSA/Illumina the number of records where the term Ifremer is appearing. This term Ifremer can be found : - in all fields of ASFA (anywhere as indicated in Illumina) : the result is 6362 records (update 200707), - in the Affiliation field when the first author is a Ifremer’s scientist and that the name of our institution is appearing on the document : the result is 4050 records (update 200707), - Ifremer is appearing in 2312 other records (publisher field : 1583 records…..), To each update we can have new records with Ifremer. At this level, a comparison with the international input by all members is necessary. After the update 200612, the ASFA Base reached 1 126 863 records/notices instead of 1 021 350 notices (update 200512) : For the presentation of ASFA at the OMER Workshop in March 2007, we noted the update 200702 : 1 141 064 notices

The study on the Server CSA/Illumina/ASFA (update 200702update) via the field “Subfile”gives the following distribution and the results were : 1 141 064 bibliographic records appear in the ASFA journals ASFA 1, ASFA 2, ASFA 3, journals which can be studied under the field « subfile » (ASFA 1, ASFA 2, ASFA 3 or the field “Classification” CL ( Q1 Q2 Q5 or classification code supplied by FAO (ASFIS REFERENCE SERIES n°2, Rome 2001). Distribution list for complementary ASFA entitlements In 2007, as minimum entitlement, Ifremer Brest (Bibliothèque La Pérouse) receives : - ASFA 1 + ASFA 3 which are sent to Ifremer Centre Nantes Unit Library specialised in Living Resources Aquaculture and Environment. We asked to CSA not to send ASFA 2 - ASFA CD/ROM produced by CSA (not installed) - Access to ASFA via Server Proquest/CSA and its CSA Illumina Interface, interface proposed to all Ifremer centers or Ifremer stations via IP address indicated to CSA (25 locations - France and overseas). All Ifremer scientists, and the users of the Library use its database very appreciated The statistics provided by CSA show the use of this new tool since 2005, 2006 and 2007 (annexe 4 or point 5). As additional entitlements : We have, each year, many e-mails and discussions between Craig Emerson or/and the marketing Responsibles of CSA in Europe (Stuart Cooper, Emma Dobson.........) to remove this limit (barrier) of three

subscriptions as additional subscriptions and CSA agreed for the study of the French case where there are many collaborating centers. We obtained 5 access to CSA Illumina as additional entitlements We give the ASFA CSA Illumina access to the collaborating centers SHOM, Intechmer, INRA SCRIBE Rennes . We preserved the access to the other old indexer Station biologique de Roscoff which used ASFA via CSA since 1999 and yet to INRA St-Pee because this institute is now an Mixed UNIT between IFREMER/INRA. The fact of removing these IP addresses at INRA St-Pée would make that several researchers (scientists) of Ifremer would not have any more access to ASFA/CSA Illumina and it would be a pity. Several French Ifremer Scientists are located each month in St Pee sur Nivelle). Fortunately CSA agreed to raise this limit and we warmly thank, this year again, Craig for his intervention . As already said to Craig , in our e-mail, to give the ASFA /CSA Illumina access to French collaborating centres, is for us a deserved reward of every hour devoted to ASFA ‘s investment French ASFA input by these centres and by myself, and all many hours devoted to check list the tool CSA Illumina It is a recognition of my personal French work by CSA. As already said at the last Board this limit of maximum 3 subscriptions as additional subscriptions (indicated in the ASFA publishing Agreement) is to few, does not encourage a collaborating center to increase his ASFA input and is a brake to keep or find new Collaborating Centres participating in ASFA input. We should be able to offer a free subsription to each collaborating centers of a national partner also in a developed country. In our situation, two collaborating centers have not a free ASFA access : It is necessary to known that, although our Country “France” is a developed country, the budget devoted to documentation is always poor, and we have difficulty to purchase the acces to many database. When a collaborating center works for the national partner; we would really appreciate offering to this collaborating center the access to CSA ASFA database. Is it possible to integrate this new possibility to offer a free subscription to each collaborating centers in the next Publishing Agreement, CSA and FAO ? AS already said at many ASFA Board, it would be necessary at least that in the Publishing Agreement, CSA and FAO agree a discount of 50% or 75 % for the purchase of the CSA Illumina ASFA database by a national partner or by a collaborating centre even if you are in a developed country, especially when this Collaborating centre purchases other products at CSA In next September, I wish to discuss with Craig Emerson, Stuart Cooper & Emma Dobson about our collaborating center MNHN (Museum National d’Histoire naturelle – Paris which, wishing to give the access of ASFA/CSA/Illumina to the all sites of MNHN bought, since 2004, with only the discount of 35% as ASFA partners the access to Illumina whereas Mme Françoise Romagné (Bibliothèque Centrale Museum Paris, a colleague to Sandrine Leroy (ASFA indexer instead of Mathieu Andro) said to me that MNHN buy to CSA other databases packages for an amount of more 50 000 € (BioOne, CSA Biological Sciences Database, CSA Environmental SCI & Pollution, Zoological Record Plus Current year…). When such a customer is also a French ASFA collaborating centre, CSA should offer to him free the acces to ASFA via CSA Illumina. After we have only the case of Cemagref, the only collaborating center not to have the access to ASFA . 5. Usefulness of ASFA products Since Spring 2005, all the scientists of all Ifremer sites use the platform CSA Illumina and the ASFA data base via the WEB intranet of Ifremer / Bibliothèque la Pérouse (with this link, it is not necessary, for the scientists, to indicate CSA Ifremer user + CSA Ifremer password.). However some scientists or myself use sometimes directly the CSA Illumina Server. This new CSA Illumina platform is very appreciated. We know that the scientists of Ifremer search very much in ASFA products and think that ASFA is a very interesting and the essential database for the marine international scientific community. ASFA prints are no more consulted by either Ifremer Brest nor other Ifremer centres except for library of Ifremer Nantes that always wants to consult ASFA printed Journals (ASFA1 + ASFA 3) that I send to the librarian.

We can already provide some comments about the statistics use of ASFA database supplied by CSA, use which can be compared with the statistics provided by our software specialist of the library Bibliothèque La Pérouse. It is difficult to compare because we have not the same informations.

In the Usage Report provided by CSA for Ifremer from 1st January 2006 to 31 December 2006: we have 7515 signons, 27566 searches, 93 210 queries 7515 signons from January 2006 to 31 December 2006 provided by CSA for Ifremer while our Internal statistics system via the connections on the Web Intranet of the Bibliothèque La Pérouse (BLP) provides 7127 signons. We have Ifremer scientists and sometimes myself who sometimes are connected directly to the URL from CSA and use the user and password. They do not search directly via the Web of the library. Bibliotheque La Perouse (link made on Ifremer Intranet where it is no more necessary to indicate CSA ifremer user + CSA Ifremer password). Also these signon (connections) accesses are not given in our statistics. BUT this processing cannot be the only explanation : it is to be defined &&& Our internal system dos not provide the information on records captured by format but we obtain others information . Some commentaries : An increase of signons by sites (on Ifremer Intranet hors BLP) in 2006 . The use in Brest is increasing in number (1911 signons instead of 1563 in 2005) but has a lower % (33,73% instead of 40,37% in 2005), Nantes (944 signons instead of 458 in 2005) takes the second position before La Rochelle; 2 new sites appear in the figures in 2006 : Ifremer in Corsica with 142 signons, la Nouvelle caledonie with 4 signons in 2006.

If we study the period “1st January 2007 to 7 August 2007” (always from our internal statistics system), we have more signons that the last year for the same period : 4 621 signons (7/08/07) instead of 4 369 signons (1st January 2006 to 9 August 2006). In 2007 (on 7 August ) the distribution is the following : 497 signons (10,77 %) by students, scientists of the University or Ifremer, other external users in the reading room of the library Bibliothèque La Pérouse (BLP), 3871 signons (83,76%) by Ifremer researchers/scientists on Intranet Ifremer without the staff of the Library BLP, 253 signons (soit 5,74%) the number of signons by the staff of the BLP The comparative state between January 2006 - 9 August 2006 and January 2007 – 7 August 2007 is described in Annex 4.

6. Monitoring list Information The French’s serials monitoring list currently consists of 69 serial titles in 2007. In 2000, 2003, 2005 there were many deleted titles (publication ceased or some titles no more analysed in ASFA according their lack of interest, or because there is only some exceptional analysis (however the article will be indexed but the serial title does not more appear in the official serial list) : See. Annexe 2 : document Ifremer ASFA/2007/29-b). The French scientists appreciate to have the serial titles from two presentations (full title and abbreviated title).

7. Problems : new functionalities in the input product, improvement for a better quality of the output products About the Input product ie the WWW-ISIS-ASFA software : * The control of the double record should be was to be made over a length of the Title field more important !!!! The system indicates to us sometimes a double record , but after checking it is for example the second part of the book, the volume 2 with a subtitle.... About the indexing coverage Always complaints of Ifremer scientists concerning slow indexing coverage for some papers submitted in the international or national journals which are analysed theoretically cover to cover. But I am announcing you these complaints while specifying well that the French partner is also badly placed to make reproaches to all ASFA members because our French network has some delays in the serials not analysed cover to cover, delay due to the problem of input staff.!!!!!!! ABOUT missing records in CSA / Illumna/ ASFA : We knew that some records realized between 1992 – 1995 were always missing in CSA /Illumina as indicated already in CSA/IDS but it was very difficult to control because, for this period, CSA had not the field Input Centre number called «TR» This verification and checking of the partner’s input ask always a great deal of time for the old years and in 2004 we decided to stop the checking. Without the field TR (input center) in CSA (ASFA) before 1994, it is, in accordance with the French expression, to look for a needle in a haystack. Fortunately no more input problem since 2004 – we verify regularly to each update and claim after 2-3 updates if some French inputted records are missing _______________________________________________________ About the CSA/Illumina platform, We will start to say to the Representative of CSA (Craig Emerson and Vicki Soto) that this platform CSA / Illumina is very appreciated by the majority of the French users, * The function “possibility to combine searches using the operator « not » is very appreciated by Ifremer information specialists, Ifremer scientists and the other French users of CSA customers is, in this platform, but it would be necessary to give an example in the phrase “search Tips : you indicate : (#3 or #2) and new terms Why not a second example : #3 not #2. (nothing indicates in your example the possibility to use the operator “not”. * Other very appreciated possibility : “in Advanced Search” : the possibility to add row or to remove row, * appreciated also the possibility to create a custom format,

Some new remarks Thank you with all the team of CSA which we very often disturb when there is a problem. But we request again the other functionalities requested by the French ASFA users -

About to sort : in the system there are only two possibilities : to sort by most recent first and by relevancy ranch What is the most recent first ? (update of the base or publication year ??? o we would like to sort by author (by 1er author of the article – a wish of users)

we would like to sort by the information input centre (field TR in CSA/Illumina) with the possibility decreasing or increasing. ie by the number of the record (decreasing or increasing) appearing in a sequential range. This function would be very interesting to check the annual centre input. The field « TR » in CSA/Illumina is the alone mean to check (verify) the input of the partner.

To have the possibility to search simultaneously by author or editor (in France éditeur scientifique) The users of the database do not known our rules of the ASFA input, sometimes we indicated an author as (Ed.) and in the ASFA database via CSA/Illumina the name of this author can be found with the searching field Editor and not the Author field … If we can search simultaneously by author or by editor, there is no more problems

Always the other problem that The URL address does not appear in the viewing list (however this information is in the input sheet and this information is in the full format in the Note field !!!!! At which time this information will be seen, with the buttom full text linking, in the viewing list (we would wish to have an operational Web link in the case of full text dissertation, of contributions of proceedings when it is indicated in the input sheet).

8. Development, user services, training activities and future Publicity is regularly made for ASFA system in the course of symposium or workshops held by Ifremer scientists but also by the others French scientists specialised in oceanology.... and/or by information specialists of the French indexing ASFA Network. Many students of Univ. Paris 6 (Univ. Jussieu) or students of others marine schools use the ASFA database in the French ASFA collaborating indexing centres, via CSA/Illumina. MNHN, Station biologique de Roscoff regularly show the ASFA database to users of their library or Documentation centre. All the users of the Bibliothèque La Pérouse are students, scientists but also the professional of aquaculture, veterinary, medicine and aquatic animals, physics, chemistry, pollution, engineering, marine technology....geology. Regularly training courses are organized for these users and all electronic resources available to our Documentation Centre are presented : ASFA on CSA Illumina, the products of THOMSON/ISI (Web of Sciences, ISI proceedings, Essential Science Indicator), OVID/SilverPlatter platform with others databases (Pascal, Georef, Econlit, FSTA), the electronic reviews, Archimer (Ifremer ‘s Institutionnal Archive), Avano (the marine and aquatic sciences OAI harvester realized by our Software specialist of Ifremer / Bibliothèque La Pérouse Fred Merceur).. Ifremer keep the responsibility of French ASFA network and the database ASFA is installed at Bibliothèque La Pérouse (BLP), Centre de Documentation sur la mer (merging of the Library of Ifremer Brest, Marine sciences section of Brest University Library and Library of I.R.D (specialised in marine tropical oceanography (biology, fisheries, geosciences, physics, ...).. As, already said at the last ASFA Board, now, ASFA database is circulating to all Ifremer scientists but also to all scientists or students of Brest University located in IUEM (Institut Universitaire Européen de la Mer, created and located near Ifremer Brest) when this new scientific population comes to Bibliothèque La Pérouse. The main wish of Ifremer is that the ASFA database would be known and should be circulated to all the French users specialised in marine environment, brackish water or freshwater environment (with Ifremer ASFA server or with CSA Internet Journal Service. A power point on ASFA (history, uses…) has been realized by the French ASFA Responsible, myself, for our annual Workshop 23ème Reunion des Bibliothécaires et Documentalistes des Sciences de la Mer et des Eaux, Group OMER “ on May 2006 in Brest at the Bibliothèque La Pérouse, (among 60 persons - (librarians or information specialists) as also an other presentation on ASFA for the annual Workshop 24ème Reunion des Bibliothécaires et Documentalistes des Sciences de la Mer et des Eaux, Group OMER “ on March 2007 in Lyon at the Cemagref. As you see, Ifremer, responsible of the French indexing ASFA Network, assumes the promotion of ASFA.
