8th International Festival of Orchestras of Mandolins and Guitars Organized by the Club of the Mandolins of Remiremont July 10-11-12, 2015 REMIREMONT (France)

FESTIVAL RULES AND REGULATION 1. INTRODUCTION The three day International Mandolin Guitar Orchestra Festival takes place in Remiremont (France) and is organised by the Club des Mandolines de Remiremont (non-profit-making association registered at the prefecture). The former festival took place in 2009 and the eighth edition will take place on July 10th- 11th et 12 th 2015. Dates : from July 10th to July 12th Arrival : from July 9th 3.00 pm Departure : July 13th before 9.00 am Each orchestra will be provided a guide throughout the festival. He will be the link between the orchestra and the organising committee but also between the orchestra and the persons in charge on each spot. The organising committee expects the orchestras to be accompanied by a French translator. Each musician will get a program, a badge and meal vouchers.

2. OBJECTIVES OF THE FESTIVAL The festival aims, in a spirit of friendship and in universal collaboration, at showing and highlighting instruments with plucked strings of all countries (mandolins, mandolas, guitars, mandocellos, domras, zithers, bouzoukis, balalaikas, etc). Its purpose is to show the musical wealth of these countries, to help in its broadcasting, to exchange and to promote the knowledge of cultures. The festival is a non competitive event. No orchestra competes. The organising committee will offer a trophy as a thank-you present for taking part in the festival but no prize will be awarded and no ranking will be given.

3. CONDITIONS OF PARTICIPATION The orchestras willing to take part are to fill in the first registration document and to send it before March 31st 2015 to : Pascal ZAUG, Président du Festival International CLUB DES MANDOLINES 16 route d’Hérival F-88200 REMIREMONT (France)

[email protected] One or several CDs or DVDs are to be sent too so that the choosing committee can estimate the repertoire variety and the performance quality. The committee's decisions are based on these Cds or DVDs and are sovereign. The CDs and DVDs will be kept and used during the festival by the organisers or, if needed, by the press. The registration deadline is set on March 31st 2015.

4. SELECTION AND FINAL REGISTRATION The selected orchestras will be informed by post or by e-mail, Each selected orchestra will have to precisely fill in and send the « final registration form » and the requested documents to the above address. It will also have to pay 150€ corresponding to the registration fee to the account of the « Club des Mandolines de Remiremont ». The registration will be final only then.

The selected orchestras will send advertising documents such as photos (.jpg), introduction texts by email to the following address to allow advertising and promotion in the press geared towards the public and professionals,

[email protected] Your registration will be final on receipt of the fee and the requested documents (deadline April 30th 2015), The organising committee will then inform the orchestras. The organising committee reserves the right to validate the orchestra's final registration. If necessary, the organisers will send the fee cheque back (150€) to the sender. The registration fee won't be reimbursed if the orchestra withdraws.

5. STAY (ACCOMMODATION AND FOOD) The musicians will stay in a high-school (seperate rooms for 4 to 8 people even for the coach driver). The organising committee will pay for most of the costs in the high-school (meals and lodging) for musicians only so that they won't have to pay much. The orchestras will arrive July 9th (evening / dinner provided) and leave July 13th (morning / breakfast provided). Only two bed sheets will be provided. People staying at the high-school will bring pillow, cover, bath towels and toiletries, A written notice will inform us about your need of special meals (vegetarian, salt free, …) In case participants prefer not to stay in the high-school, they will have to pay for all their expenses. Make sure you book your stay. Our fares for the event : Musicians,orchestra conductor, president, translator and coach driver

(*) Organisation costs correspond to a badge, the access to the high-school, the access to the concerts in Remiremont, the festival program.

6. TRAVEL EXPENSES As to the trip, transport in Remiremont and elsewhere, the expenses are payable by the orchestra,

CONCERTS AND EVENTS The orchestra will perform once or twice during the festival but won't be paid for these concerts, The musicians will be able to attend any concert organised in Remiremont upon presentation of their badge. The organising commitee owns and makes decisions about any right (image and sound) and about any production during the festival. No compensation shall be claimed.

7.1 Concerts at the Palais des Congrès (convention center) The performance at the Palais des Congrès (convention center) will last 45 minutes maximum on stage (including setting up and packing away). Musicians from each orchestra will dedicate a part of their repertoire to composers from their country. We expect to recieve the chosen program before April 30th 2015. A musical work will be played by all the musicians from all the orchestras during the closing concert on July 12th .The dress rehearsal will take place in the morning. Selected orchestras will be sent a copy of scores for each stand and for the conductor.

7.2 Other potential concerts The orchestras are also likely to play outdoors or in other spots in the town (or in another town).

7.3 Instruments ans stands Each orchestra is to bring its necessary equipment : instruments, percussions, stands (including the conductor's stand). If necessary, the orchestra will bring its amplification equipment (amp, mixer, speakers...) for which the festival organisers won't be responsible.

8. RESPONSIBILITY 8.1 Selected orchestras responsibilities  Taking part in the Festival implies full acceptance of the terms of the general conditions of participation such as described here.  Participants will be under the legal responsibility of the signatory of this regulation, They accept to respect the rules of community life, especially the rules of the high-school and the planning of the festival activities, - respect of other people's sleep (remain silent in and around the premises) - smoking, drinking alcohol or use illicit substances are strictly forbidden everywhere in the high-school (inside and outside) and where the concerts take place, The organising committee could be led to take adequate and appropriate measures against the individuals concerned, in case these rules are broken. These sanctions would not interfere with sanctions provided for by the law and the French rules.  Damages by one or several persons accompanying the orchestra will immediately be charged to the orchestra.  Each orchestra is to subscribe an insurrance providing guarantee against damaging or destroying another person's property, theft, physical, mental or moral integrity, and generally speaking against any risk of physical, moral or material damages. (an insurance certificate written in French or in Englis is to be sent)  Organisers expect a list of all the participants with their names, function, instrument. The list should show the male / female distribution and the number of couples.  Participants (musicians and accompanying persons either minors or adults) will be under the legal responsibility of the signatory of this regulation who will have to be reachable (make sure you give the organisers a telephone number while in Remiremont) and available throughout the festival. This person has to plan adequate control for minors.

8.2 The organising committee's responsibilities  The organising committee may not be held responsible should the festival in question, in case of absolute necessity, be modified, curtailed, delayed or cancelled. No compensation shall be claimed. Decisions made by the committee are final and irrevocable.  The organising committee suscribes an insurance of public liability for the damage caused by its activity.  The above conditions and organisation might be modified according to the number of registered orchestras and the festival needs.

9. DOCUMENTS TO BE SENT The organising committee won't take into account an incomplete application. Consequently the orchestra could not take part in the festival.
